About the Committee
Abbotsham and Alwington Pre-school is a Charity, committee run pre-school. Without a committee, there cannot be a Pre-School. There are lots of ways you can contribute and you can choose to give as much or as little time as you can spare.
The good thing is you don’t need any experience to make a difference!
The committee is responsible for the overall management of the setting. This can mean anything from organising fundraising events to negotiating with a landlord over the terms of a lease.
If you are interested in joining the committee, you can take on a specific role or join as an ordinary member. Our AGM is held in Oct each year, but you are welcome to join before this. You can also come to our next committee meeting to see what it is all about

Committee Roles
Chairperson
Represents and acts as spokesperson for the pre-school.
Chairs meetings of the pre-school; including committee meetings, open meetings and general meetings, such as the Annual General Meeting (AGM).
Sets the agenda for meetings together with the secretary.
Co-ordinates the work of the committee to ensure effective administration.
Acts as the ‘Nominated Person’ for Ofsted purposes.
Line manages the manager of the setting.
Supports other committee members and authorises the work of the Treasurer.
Submit the annual return to the Charity Commission.
Keep Ofsted up-to-date with any notifiable changes within pre-school.
Vice Chair
Chair meetings in the absence of the Chairperson.
Provides support to the Chairperson as appropriate.
Treasurer
Ensures the committee are aware of the financial position of the pre-school, providing an up-to-date written statement of accounts at committee meetings.
Ensures that the committee apply the pre-school’s resources exclusively in pursuance of its charitable objectives.
Presents accounts to the members at the AGM.
Manages the pre-school’s bank account, updating the signatories as necessary.
Issue bills and receipts on behalf of the pre-school and ensures that all necessary payments are made promptly.
Ensures that the pre-school’s financial records are maintained accurately and updated on a timely basis.
Manages staff payroll and volunteer expenses.
Arranges for the accounts to be checked annually and independently.
Reviews and returns any other financial reports as necessary.
Secretary
Responds punctually to all correspondence; keeping proper records.
Organises all meetings.
Draws up meeting agendas and circulates to all attendees punctually.
Takes accurate minutes during meetings, types up and sends them out to all attendees in a timely manner.
Supports all committee and staff members, by ensuring the administrative function is efficient.
Arranges all DBS checks for staff and committee members.
Admissions Officer
Sends out all welcome packs to new parents annually.
Liaises with staff to complete the Early Years Funding headcount form each term and sends it back before the deadline.
Completes half termly preschool bills for those children that do not qualify or who exceed their Early Years funding grant.
Fundraising Officer
Keeps paperwork associated with fundraising up-to-date, writing letters within deadlines set in folder.
Keeps up-to-date with any new areas of funding that may become available.
Events organiser
Ensures we have enough volunteers to help out on the day of any event.
Ensures we have sufficient refreshments for any events that are held within pre-school.
Encourages parents to supply us with cakes for such events.
Liaises with secretary and chair to ensure venues are booked.
Attends village fete meetings and organises all activities associated with the fete.
Ensures with the help of the Treasurer that we have sufficient floats for events.
All other committee members – Ordinary members
Act in the best interests of the pre-school; promoting its values and working to achieve its charitable objectives.
Work as part of a team with the other trustees; whilst bringing their own ideas perspectives and experiences to the committee.
Regularly attend committee meetings and contribute to the effective management of the pre-school.
Read committee papers and contribute to the decision-making process of the committee.
Undertake Ofsted suitability checks as required.
Use safe recruitment procedures and work to Early Years Foundation Stage requirements to employ suitable adults to work with the children.
Ensure that pre-school complies with the rules in its constitution, charity law, and other relevant regulations that govern the work of the pre-school.
